Proposal For Activ PDF’s – Invoice, Purchase order, Credit Memo, Vendor Payment, and Statements

Proposal summary

This proposal covers the scope of the PDF template customization  for Invoice, Purchase order, Sales credit note, Vendor Payment, and Statement

Requirement

The Requirement is to create Advanced PDF templates for Invoice, Purchase order, Sales credit note, Vendor Payment, and Statement

Our Solution

We had gone through the field mapping you provided and the following are the concerns and findings.

Invoice

We believe that we need to add the Invoice header Description after the Sales rep header and before the custom column yet to be confirmed.

Also please provide confirmation about this field when you get clarity from the client

We assume that we need to add the “Invoice to be paid in currency” above the total field and add the currency value right next to it or just we need to add the currency value right after the Total field.

We are not sure about fetching the values from the GL impact page. As far as we know it is not directly possible.

But there is a possibility to achieve the sum of total amount credit and tax amount credit

We can create a search to find the total amount (credit) in base currency and can add that value in a custom column and fetch it into the PDF ie: Invoice Total

We can create another search in which only the tax line will be true. We set up the result to get the sum of Amount (Credit) in the base currency. We will add this result in a custom column. In PDF we will fetch the value from this column to get the tax amount (credit)

We believe that then the Net Invoice value will be Invoice total – VAT.

We assume that we can fetch bank account details from the custom record to the template.

We assume that we can add this fixed text as a footer at bottom of the PDF.

Do we need to put the bank details below the total box?

Vendor Payment

We can hardcode the type value as Invoice

Do we need to add the currency value as it is in the mockup?

Purchase Order

We assume that this is the employee name who created the purchase order

Statement

We assume that we can give a condition. if the value becomes “Balance forward”, don’t print it

Will the terms will be always the same in every invoice for a  customer?

We assume that we can fetch bank account details from the custom record to the template

Sales Credit Note

We assume that we need to remove the highlighted area.

Assumptions

  • We assume that there won’t be any issue in fetching the bank details from custom record.
  • We assume that we don’t need to develop these PDFs from scratch. We believe that there are already PDFs in the account in which we can make these new updates.
  • We assume that we need to do the development in the sandbox first. After it is confirmed we can move it to production.
  • Please provide access to the Sandbox and Production Netsuite account.

Risks

We assume the method we put forward to fetch the GL credit column values is flexible for you.
