Even though the created date is readily available for custom records, it is not readily available in standard transaction records. This can be solved by creating a saved search and a custom Transaction body field to display the “Date Created” information for standard transaction records in NetSuite.
Step 1: Create a Saved Search
- Navigate to Lists > Search > Saved Searches > New.
- Choose the Record Type as “Transaction” and check the “Public” checkbox to make it available to all users.
- Under the Criteria tab, click on “FILTER” and select “Type” and set the “DESCRIPTION” to “is any of” and select “Sales Order,” “Invoice,” and “Quote”.
- Switch to the Results tab, and in the Columns section, select “Date Created” and set the summary type to “Maximum.”
- Now, click on the “Sort” dropdown and choose “Date Created.”
- Under the Available Filters, select “Internal ID.”
- Finally, click “Save” to save the search with an appropriate name.
Step 2: Create a Custom Transaction Body Field
- Navigate to Customization > Lists, Records, & Fields > Transaction Body Fields > New.
- Set the Label as “Date Created” and choose the Type as “Date/Time.”
- Uncheck the “Store Value” checkbox since we are not storing the date but displaying it from the saved search.
- Go to the Display subtab, and for the Field Type, select “Disabled” to prevent users from editing the field manually.
- Move to the Validation & Defaulting subtab and choose the saved search created earlier from the “Search” dropdown.
- Save the custom transaction body field.
