To give access to employees via CSV import, please follow the steps below:
- Create and save a CSV file with the following columns –
- Internal ID (of the Employee record)
- Role
- Password
- Confirm Password
- Require Password Change
- Give Access
- Update the Employee Record via CSV Import
- Navigate to Setup > Import/Export > Import CSV Records
- Set the following:
- Import Type = Employees
- Record Type = Employees
- Choose the CSV file
- Click Next
- Set Data Handling = Update
- Click Next
- Map the fields:
- Internal ID <> Employee : Internal ID
- Role <> Employee Roles 1: Role
- Password <> Employee: Password
- Confirm Password <> Confirm Password
- Require Password Change <> Employee: Require Password Change On First Login
- Give Access <> Employee: Give Access (user can set the default value to YES by clicking on the pencil icon)
- Click Next
- Click Save & Run
Additional Notes:
- If Give Access is not visible in the Step 4 Field Mapping stage, it is possible that the field is hidden in the Custom Employee Form used. Go Back to Step 2 Import Options > Click Advanced Options to verify.
- Note that if the user has access to different Entities, then the system might not accept the Password set. You may review SuiteAnswer Id 69127: Create New Employee Record > Give Access > Set Password > Only the user can change this password, as this user has access to more than one NetSuite account.
